How to Prepare for a Tech Emergency - Before It Costs You Time & Money

When you think about emergency preparedness, you probably picture things like fire drills or severe weather plans. But what about a technology emergency?


A crashed server, a ransomware attack, a power outage that takes down your network... these situations can bring your business to a halt. And without a plan in place, they can cost you a lot more than a few hours of inconvenience.


The good news? You don’t have to be an IT expert to prepare your business for the unexpected. Here’s how to get started:



1. Start with a Backup Plan

If your business lost all of its data today, (client records, invoices, documents, emails) what would happen?


Backups are the single most important step you can take to prepare for a tech emergency. But not just any backup will do.


  • Use automated, off-site (cloud) backups

  • Test them regularly to make sure they actually work

  • Keep a recovery plan in place so you can get back online quickly

2. Have a Communication Plan

If your systems go down, how will you communicate with your team? Your clients?

Create a basic inventory of your critical systems, passwords (stored securely!), software, and vendors.

  • Login credentials for key platforms

  • Emergency contact info for your IT provider

  • Information on licenses, hosting, and domains

  • A list of what systems absolutely need to run your business


It doesn’t have to be fancy. Even a simple checklist in a fireproof folder (or stored securely in the cloud) is a good start.



4. Train Your Team on What to Do

Even the best plan fails if no one knows what it is.


Make sure your staff knows how to recognize a tech emergency (like phishing emails or ransomware pop-ups), who to report it to, and what steps to follow. A quick training once or twice a year can go a long way.


You don’t have to overwhelm them with technical jargon. Just give them the “what now?” steps they’ll need in a crisis.
